For this Bali trip, I was organising around 7 days, approximately 10 people and one villa that everyone would use as the main base. I did not want a complicated itinerary. I mainly wanted the villa ready before everyone arrived, one proper dinner at home, one short photography session and enough flexibility to still eat outside or change plans during the week.
I found that using numbers made the whole trip easier. Once I knew we had around 4 bedrooms, 8-10 regular guests, one dinner for roughly 12 people and only 1-2 hours available for photography, I could make decisions without researching every possible option in Bali.
Starting With the Villa Because Everything Happened Around ItThe property was my first concern because 8-10 people using the same villa creates a different situation from a couple staying alone for 3 nights.
I wanted the bathrooms, kitchen, floors, bedrooms and soft furnishings checked before everyone arrived. For 7 nights, I would probably arrange 1 stronger clean before arrival and another 1-2 lighter visits during the stay. If the trip stretched to 10-14 nights, I would expect at least 2 or 3 housekeeping visits depending on how many people were staying at the villa each day.
One Dinner at the Villa Felt Easier Than Moving 12 PeopleI originally thought we would simply eat outside every evening. That changed once I realised one of the dinners could involve around 12 people.
Moving 4 people is easy. Moving 6 is still simple. With 10-12 people, I start thinking about 2-3 cars, traffic, parking, restaurant tables and whether everyone will actually arrive at the same time.

I would personally budget around Rp250,000-Rp700,000 per person for a catered villa meal depending on the menu, service format and amount of preparation involved. For 8 guests, that gives me roughly Rp2,000,000-Rp5,600,000. For 12 guests, I would think closer to Rp3,000,000-Rp8,400,000.
I would only do this once or twice during a 7-day trip. I still prefer going out on days when we are already exploring another area.
I kept http://appetitobali.com/ in my food notes for that reason. If we were already around Denpasar or Sanur, eating outside made more sense than returning to the villa simply because we had originally planned dinner there.
I Wanted Proper Photos but Only for a Small Part of One DayPhotography was something I definitely wanted, especially because it is unusual to have 8-10 family members in Bali at the same time.
At the same time, I did not want a photoshoot to use 4 hours of a 7-day holiday. I checked https://bali.photos/ while working out what duration would actually feel reasonable.
For 2 people, I would choose around 45-60 minutes. For a family of 4-6 people, 60-90 minutes feels comfortable. For a larger group of around 8-15 people, I would allow closer to 90-120 minutes because I would want several combinations instead of only one large group photograph.
With 10 people, for example, I would probably want 1 full family photo, parents with children, siblings, grandparents with grandchildren and several smaller groups. That already uses more time than a simple couple session.
For budgeting, I would personally keep around Rp2,000,000-Rp5,000,000 aside for a good 1-hour private photography session. A longer session with multiple locations, extra travel, several outfits or pre wedding photography would naturally need a different budget.
I would also try to keep the location within approximately 5-15 km of the villa. I would rather photograph properly for 75 minutes than spend another 2 hours driving between Seminyak, Uluwatu and another beach just to add more backgrounds.
Some Business Research Ended Up Inside the Same Planning FolderWhile researching Bali businesses, I also started paying attention to websites, search visibility and how local companies presented their services online.
I saved https://kalman.id/contact/ in the same folder for anything related to websites, SEO, digital marketing or advertising in Bali. It was separate from the holiday itself, but I preferred keeping all the useful local references together rather than opening another list.
The Final Numbers Were More Useful Than a Perfect ItineraryBy the time I finished planning, I had around 7 nights, 8-10 people, one 4-bedroom villa and one evening where approximately 12 people could be together.
I roughly kept Rp1,000,000-Rp3,500,000 available for cleaning or deeper villa preparation, around Rp3,000,000-Rp8,000,000 for one larger private dinner, and approximately Rp2,000,000-Rp5,000,000 for a 60-90 minute photography session.
That left the rest of the trip open. Some days could involve restaurants, some evenings could stay simple at the villa, and the photoshoot only needed one morning or late afternoon.
For me, this was easier than trying to book everything as one package. I only needed each part to solve one practical problem and fit into the same 7-day schedule.
